Digital Product Buying Checklist: Files, Licence and Support

Questions to ask about file formats, compatible apps, licence boundaries, delivery, updates, refunds and after-purchase support.

Identify the actual files you will receive

A digital product is not defined by its cover image. Before purchasing, look for a list of included files and their formats. A planner might be a printable PDF, an editable spreadsheet, a Canva template or a file designed for a particular note-taking application. Those formats require different devices and skills.

Ask whether the download is compressed in a ZIP archive, whether fonts or linked assets are included and whether you need a free or paid application to edit it. If the listing mentions several formats, confirm that every format is part of the same purchase rather than an example of possible delivery.

Check software and device compatibility

“Digital” does not mean “works everywhere”. Confirm the operating system, application version, screen size and import process. A template made for Microsoft Excel may not preserve every feature in another spreadsheet application. A PDF with hyperlinks may behave differently in a browser, a mobile reader and a dedicated annotation app.

  • Which application opens or edits the file?
  • Is a paid account, font or plugin required?
  • Can the file be used on mobile as well as desktop?
  • Are printing size, margins and colour requirements explained?

Understand the licence before using the content

The licence explains what you may do with the file. Personal use usually does not allow resale, redistribution or uploading the original template to another marketplace. A commercial-use licence may permit use in a finished client project while still prohibiting sale of the editable source. Print-on-demand, classroom and team use may require separate permission.

Do not rely on the absence of a restriction. Ask for the written licence or terms when your intended use involves a business, clients, students or public distribution. Keep a copy of the terms that applied when you purchased.

Review what can and cannot be customised

A product description should separate editable elements from fixed ones. Check whether you can change colours, text, page order, dimensions and images. If the product uses a third-party design platform, ask whether linked elements are free or premium. For a spreadsheet, identify which cells contain formulas and whether the seller protects them from accidental editing.

Preview with a purpose. A useful preview should help you judge layout, readability and fit. It should not reveal private customer data or pretend to prove features that are not included.

Confirm delivery, updates and support

Understand when and how the files become available. Some transactions provide an immediate external download; others require the provider to prepare a personalised file. Ask how long the link remains active and what happens if the download is interrupted.

Support should have a defined boundary. Clarify whether the seller helps with downloading, importing, basic editing or software training. Check whether future updates are included and how buyers are notified. A low-priced template may reasonably include installation instructions but not unlimited customisation.

Read refund limitations before downloading

Digital products can be difficult to return after access is delivered, so refund rules may differ from physical goods. Review the responsible seller’s policy before purchase. Complete this check before payment

  5. Delivery, support, update and refund terms are available.

If the product cannot answer these questions, it is not ready for a confident purchase. Ask the provider to complete the missing information rather than buying based only on the title or cover.

Run a five-minute pre-purchase test

A short test can reveal whether a digital product fits your actual need. First read the file list and licence, then check whether your device and software can open the stated format. If a preview or sample is available, inspect the page size, readability, links, formulas, editable fields and image quality. Do not assume that a product works on every device simply because it is delivered digitally.

  1. Confirm the exact files, formats and number of included items.
  2. Check the application, operating system or account required to use them.
  3. Test one representative page, template, link or formula when a preview allows it.
  4. Confirm whether fonts, images, plugins or paid assets are needed.
  5. Read the licence, support boundary, update policy and refund limitations.

This test is especially important for business templates, printable files and editable documents. A file can be technically valid but still unsuitable for the customer’s paper size, software version, printing method or intended commercial use.

What a complete digital-product listing should show

A trustworthy listing gives enough information for a buyer to decide without guessing. It should identify the included files, compatible software, editable and fixed elements, delivery process and support boundary. If the product contains formulas, hyperlinks or connected assets, the description should explain any important limitations rather than presenting a decorative preview as proof of every feature.

  • File formats and approximate file size or delivery package.
  • Supported applications, versions and device requirements.
  • Page dimensions, print settings or export requirements where relevant.
  • Personal, classroom, team or commercial-use licence boundaries.
  • Instructions for delivery, updates, basic support and reporting a broken file.

When to ask for clarification instead of buying

Ask before payment when the seller does not identify the file format, the preview does not match the description, a licence is missing, a required application is unclear, or “unlimited support” is not defined. A clear answer may show that the product is suitable, or it may save the buyer from purchasing a file that cannot be used. Keep the written answer with the listing details that were available at the time of purchase.
